01What we collect

Account data

Name, work email, employer, and role of users (inspectors, property managers, owners, tenants) we're given access to.

Inspection data

Property addresses, room layouts, photographs, voice notes, observations, condition tiers, and timestamps captured through the mobile app.

Device and usage data

Device model, OS version, IP address (for audit logs), and anonymized usage analytics.

What we don't collect

We do not collect facial recognition or other biometric data. We do not collect tenant social security numbers, financial accounts, or government IDs through the Service. We do not use any data for advertising and we do not track you across other apps or websites.

02Mobile app permissions

The mobile app requests the following device permissions only to deliver inspection features. Each is optional and prompted in context; the app explains why before requesting it.

• Camera — to photograph property condition during an inspection. Photos are stored as inspection data.
• Microphone — to record voice notes that are transcribed into observations. Optional.
• Photo library — only the specific images you choose to attach to a report; we do not scan your library.
• Location — approximate or precise location, when you opt in, to tag an inspection to the correct property address. You can decline and enter the address manually.
• Notifications — to alert you about report status, reviews, and deliveries. Optional.

These disclosures match the data declared in our Google Play Data safety form and Apple App Privacy labels. Data is encrypted in transit, is not sold, and can be deleted on request (see Account & data deletion).

03How we use it

• To deliver the Service: drafting reports, publishing PDFs, delivering to tenants and owners.
• To maintain audit logs and verification hashes for legal admissibility.
• To support and respond to inquiries.
• To improve the Service in aggregate, anonymized form.

We do not train AI models on customer data without explicit, written opt-in.

04Sharing

We share data only with:

• Sub-processors we've vetted (see Trust Center) under signed DPAs.
• Tenants and owners who are recipients of a report.
• Law enforcement in response to a valid legal request, with notice to the customer where legally permitted.

05Retention

Inspection records are retained for the period specified in the customer's order form (default: 7 years). Account data is retained for the life of the account plus 30 days. Audit logs are retained for 7 years for evidentiary integrity.

06Account & data deletion

You can request deletion of your account and associated personal data at any time:

• In the app — open Settings → Account → Delete account and confirm. This is available on both iOS and Android.
• By email — write to privacy@inspectgenius.tech from your account email. We verify the request and complete it within 30 days.

What is deleted: your profile, login credentials, contact details, device identifiers, and usage analytics tied to you.

What is anonymized and retained: to preserve the legal admissibility and evidentiary integrity of published inspection reports, the reports themselves and their audit logs are not erased — instead, your personal identifiers are removed (anonymized) from them. Where law (e.g., tax, dispute, or tenancy-record obligations) requires us or our customer to keep certain records, we retain them in anonymized form for the period required.

If you access the Service through an employer or property-management customer, your account may be governed by that organization's contract; we'll coordinate deletion requests with them where required.

07Your rights

Under GDPR (EU/UK), CCPA (California), and similar regimes, you have the right to access, correct, delete, or export your personal data. Send requests to privacy@inspectgenius.tech; we'll respond within 30 days.

08Cookies

We use a small number of strictly-necessary and analytics cookies. You can decline analytics cookies via the banner on first visit; the Service works either way.

09International transfers

EU customer data stays in the EU (Frankfurt) by default. Where transfers are necessary, we rely on Standard Contractual Clauses.

10Security

Encryption at rest (AES-256) and in transit (TLS 1.3), per-tenant encryption keys, SOC 2 Type II controls. Details on the Trust Center.

11Children

The Service is not directed to anyone under 18. We don't knowingly collect data from children.
